Part-time Bookkeeper 6-8 hours week

The Peace Development Fund, a national, progressive public foundation funding peace and social justice, is looking for a part-time Bookkeeper. The Bookkeeper reports directly to Director of Finance and Administration, and would be responsible for maintaining an efficient and up-to-date accounting system for disbursements, receipts, cash flow, payroll and account reconciliations. The position would be located at the PDF Center for Peace and Justice in Amherst, MA and coordinate with PDF’s office in San Francisco. The successful candidate will have demonstrated capability to work well with others; flexible ability to move between disparate tasks, responding to competing requirements within job functions; be self-directed, team oriented, patient and hard-working.

Duties and Responsibilities:

Processing of accounts payable and accounts receivable
Printing and mailing of vendor checks
Preparing monthly bank reconciliations
Production of financial reports
Assistance with preparation of annual audit
Assist with development of budgets, analyses, and budget revisions, to support the management and planning processes of the Foundation.
Provide management and board with interim reports, technical assistance and expenditure guidance as necessary or as requested.
Maintain personnel and payroll systems, including state and federal payroll tax filings.
Maintain the organization’s insurance policies, contracts, sub-contracts and leases, including preparation, payment and tracking.
Serve as liaison to key financial services and vendors such as banks and insurance companies.

Minimum Qualifications:

Minimum of five years’ experience and demonstrated working knowledge of Quickbooks for Nonprofits.
Ability to create and customize reports in Quickbooks.
Proficient with MS Office, specifically Excel and WORD
Thorough understanding and proficiency in general ledger, accounts payables, accounts receivables, payroll, bank reconciliations, 1099 forms, W-2 forms, quarterly payroll filings, payroll taxes, and journal entries.
Proven ability to understand and prepare a balance sheet, profit and loss statement, fund balance report, and actual versus budgeted reports.
Proven experience in setting up and maintaining proper filing systems for the Foundation’s record keeping.
Experience working with accountant to prepare tax returns and conduct financial reviews.
Experience preparing board reports.
Demonstrated strong interpersonal, written and oral communication skills.
Organizational skills, attention to detail and follow-through.

Timing and Salary:

This position is part-time (6-8 hours/week), and available immediately.  Salary commensurate with experience and qualifications.

Foundation Officer

The Foundation Officer, based at the PDF Center for Peace and Justice in Amherst, Mass., will be responsible for PDF’s Donor Advised Funds program; assist in capacity building for grantees through The Sustainability Project; and engage in fund-raising for PDF programs.

Above responsibilities include:

  • Articulating PDF’s organizational vision to potential donors and others.
  • Working with donors and potential grantees to identify strategic funding interests and opportunities.
  • Collaborating on the organization and implementation of special events.
  • Grantwriting, sponsorship and corporate giving
  • Providing training to grantees on fund-raising, financial management and board development.

Qualifications: 

  • BA (required), MA (a plus)
  • Minimum 10 years’ experience in fund-raising and/or non-profit administration
  • Demonstrated excellence in organizational, managerial and communication skills (including social media and teaching experience)
  • Knowledge of Raiser’s Edge (or other donor management software), and Microsoft Office to include Excel, Powerpoint and Word
  • Experience working with diverse staff and Board

The successful candidate will have demonstrated capability to work well with others; flexible ability to move between disparate tasks, responding to competing requirements within job functions; be self-directed, team oriented, patient and hard-working.  Spanish and/or French fluency a plus.  This position reports to the Director of Communications and Outreach, and is based in Amherst, Mass. It is a full-time, exempt position requiring flexibility and includes working evening and weekend hours, with the ability to travel overnight and out of town to provide workshops and trainings.

Timing and Salary:

This position is full-time (40 hours/week), and available beginning September 1, 2018.  Salary commensurate with experience and qualifications. Benefits include healthcare and 3 weeks’ vacation in first year.
